Connecting Your Accounting or CRM
Connecting Your Accounting or CRM
Cartly connects natively to QuickBooks Online, Xero, and Salesforce so paid orders flow into your books or your CRM without any manual re-entry.
QuickBooks Online and Xero
Connect either from Admin → Integrations — both use a standard OAuth connection, so you authorize Cartly directly from your QuickBooks or Xero account with no API keys to copy. Once connected, every paid order is exported automatically: as a Sales Receipt in QuickBooks, or as an invoice in Xero. Line items, shipping, and tax are reconciled to match exactly what the customer paid, including any discount, gift card, or store credit applied at checkout.
Orders marked paid by hand — for example a bank transfer or cash-on-delivery order — export the same way as a card payment, so nothing needs a manual entry on the accounting side.
If an order was placed before the connector was set up, a manual re-export option lets you send it across afterwards.
A re-export always follows what your books show today. If the receipt or invoice Cartly created was deleted or voided in your accounting system, the re-export stops and the connector page asks you to run a forced re-export, which creates a fresh one. In Xero, when a bank account is set for payments: if you deleted the payment Cartly recorded, a re-export pays the invoice again; if the invoice is partly paid or its amount no longer matches the order, the re-export stops and asks for a forced re-export.
A forced re-export needs the connector to be active with sync turned on. If your accounting system refuses to remove the original — for example because a payment is reconciled or the period is closed — the original stays and the connector page tells you what to fix first; in Xero its payment may already have been removed — when a bank account is set for payments, the next export of the order pays the invoice again (if the connector page says the re-export could not be undone, that is your next forced re-export); otherwise re-enter the payment in Xero (the connector page says so).
Xero keeps amounts with two decimals, so new orders in three-decimal currencies (such as KWD or BHD) can’t be exported to Xero, and their invoices can’t be force re-exported either — fix or create those invoices in Xero by hand.
Salesforce
Connect your Salesforce org from Admin → Integrations → Salesforce. Each paid order creates or updates a Contact — or a Lead, if you prefer to sync buyers as leads — and, when enabled, a closed-won Opportunity for the order amount. Re-running an export never creates a duplicate Contact or Opportunity for the same order.
Managing your connection
Every connector can be reconfigured or disconnected at any time from Admin → Integrations. Disconnecting stops future exports; it does not undo anything already exported.
